CAC 40 energy group, purchasing and sales teams
The purchase request arrives ready for SAP
An application that checks the supplier, gets the purchase request approved and alerts the person in charge of SAP in the entity.

- Business applications
Context
The sales teams of a large group submit purchase requests: equipment, services. Each request is approved by management. Then a designated person in each entity enters it in SAP.
The problem
Requests came in by email. Supporting documents were scattered. Suppliers were created twice. And nobody knew where a request stood.
What we built
An application where the request is entered with its documents: the quote as a PDF, the company registration extract, the bank details.
- Supplier creation is checked. A “Verify” button queries the national company register with the company's registration number: address, VAT, company status.
- If the same supplier code or a similar name already exists, the application shows “Possible duplicate”.
- Each supplier has a status, active or inactive.
- On submission, the requester receives a confirmation email.
- The line manager approves the request.
- The request then moves to “To enter in SAP”. The person in charge of SAP for the entity is notified: one person per entity, nineteen addresses in all.
Ten automations run behind the application.
Result
In production since 16 September 2026. Enhanced version on 20 October 2026: check for an existing supplier, active or inactive status, person in charge of SAP per entity.
A supplier is created only once, checked against the national register.
For your IT team: Power Apps, Power Automate, SharePoint, Approvals, national company register (API)
- Hosting: inside your Microsoft 365. If an outside tool is useful, it is named and you decide.
- Accounts: a service account of your own for the automations.
- Permissions: inherited from your Microsoft 365 groups, nothing separate to maintain.
- Licenses: announced before we start, with the exact cost.
- Handover: documentation, user guide, quick reference; no proprietary code.
